Privacy Policy

1. Who We Are

Atlas Guild is operated by HTTA Holdings LLC ("Company," "we," "us"). This Privacy Policy describes how we collect, use, store, and share your personal information when you use the Atlas Guild platform ("Service").

2. Information We Collect

Information You Provide: Account information — name, email address, password, profession, and profile details you enter during registration and onboarding. Profile information — professional credentials, bio, photo, location, and other details you choose to add. Business data — contacts/clients, work items, invoices, expenses, mileage entries, time entries, bookings, proposals, documents, and other data you enter into the business tools. Client and worker data — if you use the client portal or worker portal, you may enter information about your clients and workers. You are the data controller for this information (see Section 7). User content — forum posts, messages, resource submissions, reviews, showcase entries, and other content you submit. Payment information — we do not store your credit card details. Payment is processed by Stripe under its own privacy policy. Password vault data — credentials stored in the password vault are encrypted client-side using AES-GCM. We cannot access or read your vault contents. Your master password is never transmitted to us. Communications — emails, support requests, and messages you send us.

Information Collected Automatically: Usage data — pages visited, features used, actions taken, timestamps, session duration. Device and browser information — browser type, OS, device type, screen resolution, language. IP address — for security, fraud prevention, and approximate geolocation. Cookies and local storage — we use essential cookies for authentication and session management. We use local storage for offline functionality and user preferences. We do not use advertising or tracking cookies.

Information From Third Parties: Stripe — payment confirmation, subscription status, transaction details. Google/Outlook (if connected via Mail Room) — email metadata and content you choose to import. We only access what you explicitly connect.

3. How We Use Your Information

We use your information to: provide, maintain, and improve the Service; process payments and manage subscriptions; send transactional emails (invoices, confirmations, password resets, receipts, reminders); send platform announcements and updates (you can opt out); personalize the AI concierge based on your guild and profession; display your content in guild forums, showcases, and directories; generate aggregate, anonymized analytics to improve the platform; enforce our Terms of Service and protect security; respond to support requests; comply with legal obligations.

We will never sell your personal information. We will never use your business data for any purpose other than providing the Service to you.

4. Research Data and Pattern Analysis (ARK)

Atlas Guild includes optional participation in research conducted by HTTA Holdings LLC through the Applied Recognition Knowledgebase ("ARK"). The ARK analyzes structural patterns in text — not the content of what you write, but how language is organized.

What is collected: If you opt in, anonymized structural features of text interactions (such as AI concierge conversations or Cage Match sessions) may be analyzed. No personally identifiable information, business data, client data, or message content is included in research datasets.

Opt-in only: Research participation is entirely optional. You must explicitly opt in via your account settings. You can opt out at any time. Opting out does not affect your access to any platform features.

Data handling: Research data is anonymized before analysis. Individual contributions cannot be traced back to specific users. Research findings may be published in academic papers or used to improve the platform, but never in a way that identifies individual participants.

Third-party processing: Research data may be processed using third-party AI APIs (OpenAI, Anthropic, Google) for embedding generation. These APIs receive anonymized text fragments, not your identity or account information.

When you opt in via your account settings, the consent screen will clearly describe the scope of structural pattern analysis, including the use of third-party AI APIs for embedding generation and research purposes.

5. How We Share Your Information

Service Providers: We use Stripe (payments), Supabase (database/auth), Vercel (hosting), Resend (email), and Anthropic (AI). We do not share your information with advertisers, data brokers, or any unlisted party without your explicit consent.

Community Features: Content you post in forums, showcases, the member directory, and your public profile is visible to other guild members. Public booking pages and professional profiles are visible to anyone with the URL. You control what appears on your public profile.

Legal Requirements: We may disclose information if required by law, legal process, or government request, or to protect rights, safety, or property.

Business Transfer: If HTTA Holdings LLC is acquired or merged, your information may be transferred to the successor entity with prior notice.

6. Data Retention

We retain your data for as long as your account is active. After cancellation: account data retained 30 days for reactivation or export; after 30 days, permanently deleted from active databases; backups may contain data for up to 90 additional days; anonymized aggregate data may be retained indefinitely; forum content attributed to "Deleted Member."

7. Your Rights

You have the right to: access your personal data at any time; export your data via Settings; correct inaccurate data; delete your data (contact hello@atlasguilds.com, processed within 30 days); opt out of non-essential communications. California, EU/EEA, or other jurisdiction residents may have additional rights.

8. Client and Worker Data

When you use client or worker portals, you are the data controller. HTTA Holdings LLC is the data processor. Your responsibilities: obtain appropriate consent, comply with applicable laws, respond to data requests from your clients/workers, do not enter sensitive personal data unless required by your profession and permitted by law.

9. Security

We implement: encryption in transit (TLS/SSL); row-level security on all database tables; client-side encryption for password vault (AES-GCM); Supabase authentication with secure session management; Stripe PCI-compliant payment processing; regular database backups; access controls limiting employee/contractor access. No system is 100% secure, but we take reasonable steps.

In the event of a data breach affecting your personal information, we will notify affected users as required by applicable law. Notification will include the nature of the breach, the data involved, and recommended steps to protect yourself.

10. Children's Privacy

Atlas Guild is not intended for anyone under 18. We do not knowingly collect data from minors. Contact hello@atlasguilds.com if you believe a child has provided us with information.

11. Cookies and Tracking

We use only essential cookies and local storage for: authentication/session management, guild selection, offline functionality, user preferences. We do not use advertising cookies, tracking pixels, or third-party analytics that track you across websites. We do not participate in ad networks or build advertising profiles.

12. International Data

Atlas Guild is operated from the United States. Data is transferred to and processed in the United States. EU/EEA users: this transfer is necessary for performance of the contract.

13. Changes

We may update this policy with at least 30 days' notice of material changes.
